Public-role information

Public-role information

To explain who is responsible for the school decision, the public responsibilities section names the committee’s current chair and vice-chair. It uses their official council names and roles, source links and a checked date. Our basis is our legitimate interest in explaining a public decision accurately. We have assessed whether these limited fields are necessary and how they balance against the individuals’ rights. Inclusion establishes no view on closure.

These entries are public and may be indexed or copied. We do not reproduce personal contact details, unrelated personal information, party affiliation or portraits. No personal political opinion or individual vote is published in this first version. We check current offices against official sources and review entries after relevant meetings. Historical roles will be retained only where needed to explain a dated record; inaccurate current information should be corrected.

You can request a correction, object or raise a privacy concern privately. That form has no publication option, works without JavaScript and sends requests for human review. We consider each objection and the grounds for continued processing; public availability does not by itself settle that assessment. The service providers, retention rules and data rights below apply to these requests too. This section was added on 21 September 2026; the existing form consent choices are unchanged.

What we collect and why

What we collect and why

The ideas, evidence and questions form collects your message and its category. It also collects any public source link, an optional display name, an optional reply email, your publication choice, the notice version and a reference number. Formspree also processes technical data needed to receive and protect submissions, such as network and browser details.

We use these submissions to improve the website, assess public evidence and corrections, consider questions for the school meeting, answer requests, assess possible community funding and prevent abuse. Our basis for this processing is our legitimate interest in maintaining a useful, accurate and safe parent-led information site. Publication of your message and chosen display name on the suggestions board is optional and based on your consent. We handle data rights requests to meet our legal obligations. We do not use feedback for marketing.

Please do not send children's details, health or SEND information, private school records, photographs, allegations or other sensitive information. Use this form for practical ideas, public evidence and questions. To share your personal views about the school’s future, use community letters, which have the separate purposes and consent choices below. The funding category is for assessing feasibility. Evidence and meeting questions receive human assessment; nothing is automatically sent to the council or meeting, and we cannot guarantee inclusion. Neither form is an urgent or official consultation channel. Ideas notice: 2026-09-22-v3; earlier submissions keep their original permissions.

Funding ideas

Crowdfunding and funding ideas

The funding category collects your idea or concern and any public source you choose to give. It also collects an optional reply email, the category, the notice version and a private reference. We use it to assess whether community funding could support a viable recovery plan. If you leave an email, we also use it to follow up about your contribution. We rely on our legitimate interest in assessing options and coordinating this parent-led initiative. Please keep these out of this form: political opinions, sensitive personal information, payment details, and other people’s donor identities or private contact details. Community letters have separate choices for sharing your views.

Funding responses stay private and receive human review, with OpenAI assistance where needed. The display-name and publication choices do not apply to this category, including when JavaScript is unavailable or publication permission is supplied. Nothing is automatically published, forwarded to the council or a third party, added to a mailing list, or treated as a pledge or commitment to help. We would need separate permission before quoting or attributing a private response. Verified public sources can inform editorial updates.

No campaign or pledge collection is being launched. We review funding messages and follow-up copies for deletion within 90 days of receipt, sooner when no longer needed or following a valid request. An active enquiry or dispute may require a recorded longer period. The service providers and manual retention limits below apply. Request access, correction or deletion, or object to processing.

Named supporters

Named supporters

The supporter form is separate from ordinary feedback and community letters. It records your chosen public name and private confirmation email. It also records the exact keep-open statement and its version, and your age and own-request declaration. It records your consents to processing and publication, the notice version and a private reference. It is for adults adding their own support, not for names collected on behalf of other people or organisations.

We rely on your consent to process the request and your separate explicit consent to publish your chosen name with the exact statement. Both include any political opinion the endorsement may reveal. Consent to an ordinary feedback message, a letter or council sharing cannot replace supporter consent. You can use the rest of the site and contribute in other ways without joining the list.

Yann uses the email to confirm the proposed name and statement with you. A reply confirming those details and human approval are required before publication. This confirms the contributor’s choice, not their legal identity. The confirmation email, consent evidence and private reference stay private. Only the chosen public name, public reference, listing date and confirmation/review label appear with the statement on the website. Nothing is automatically sent to the council, published by AI or used as a mailing-list or volunteer-register signup.

Public entries can be indexed, copied and kept in GitHub’s history. Withdraw consent or request correction/removal privately. Give the public entry link or enough detail to find the request. Within 90 days of receipt, we review unpublished requests and confirmation correspondence for deletion. We do this sooner on withdrawal or when they are no longer needed. Minimal consent and confirmation evidence is kept while the entry remains published. An active request or dispute may require a longer, documented period. Formspree notifications and review copies need separate manual attention. Supporter notice: 2026-09-21-supporters-v1.

Private messages to Yann

Private messages to Yann

The About page’s contact form collects your message, optional reply email, consent and notice version. Its purpose is a private conversation about this initiative, existing organising efforts or an offer of help. We rely on your explicit consent to store and review the message using Formspree and OpenAI, and to reply about the request. That consent covers any political opinions you choose to express. There is no publication option, automatic forwarding, newsletter signup or volunteer register. You can withdraw consent privately. Within 90 days of receipt, we review these messages and follow-up copies for deletion. We do this sooner when they are no longer needed or after you withdraw consent. Any longer retention for an active request or dispute must be recorded. Contact notice: 2026-09-21-contact-v1.

Community letters and council sharing

Community letters and council sharing

The community letter form is for adults submitting their own words about Kew Riverside Primary School's future. It collects the letter, optional display name, optional reply email, notice version, private reference and the choices you make. We use your explicit consent to store and screen a letter using Formspree and OpenAI, including automated screening and any political opinions you choose to express. We do not ask for party affiliation, voting intention or information about other people's health, beliefs or private lives. Please keep that information out of letters.

You then make further, separate choices. One is whether we may publish your letter and display name after automated screening or human review. If you publish, another is whether Yann may also quote short extracts beyond this website (see Quotes from letters). A third is whether we may include your letter in a collection shared with the London Borough of Richmond upon Thames Council about the school's future. All start unchecked. A public letter can use a nickname or Anonymous. Agreeing to one choice does not imply agreement to any other.

If you choose council sharing, you may also provide a private full name and postcode to give the council context. Neither is mandatory or verified. They are never copied from your display name, never included in the public website or its Git history, and are used only to prepare and share the consented council collection. Your reply email is not included. Details sent without council permission are not used for this purpose and are flagged for deletion review.

Routine, relevant letters with publication permission may be published after automated screening without a person reviewing them first. We hold spam, impersonation, threats, abuse, private contact details, sensitive information about children or others, personal allegations, and unclear authorship or permissions for human review. Supportive and critical opinions follow the same rules; an unfamiliar viewpoint or awkward English is not evidence of spam. A parent mentioning their child’s first name in an ordinary testimonial is not by itself a reason to hold it. Letters are checked periodically and publication depends on screening and the website update, with no guaranteed time. Submissions under earlier notices retain their original permissions and require human review before publication. Letter notice: 2026-09-22-letters-v3.

If you supply a reply email and your letter is published, we send one publication email only after confirming it is live. It includes the public link and displayed name and invites you to reply for edits or removal at any time. We may also reply about your letter. This does not add you to a mailing list. You can also use the private request form without an email. Substantive changes to your letter need your agreement.

There is no automatic forwarding to the council. Before a collection is sent, the operator must verify the receiving route, the council's handling requirements, current permissions and any withdrawals. We do not guarantee sending, acceptance or counting as a consultation response. You should respond directly through the official consultation route as well.

Once the council receives information, it handles it under its own rules on privacy, retention and disclosure. We cannot guarantee that the council will keep it confidential. We also cannot recall information it has already lawfully used. Before sending, we will check any publication or disclosure conditions against the permission you gave here. If needed, we will ask for further permission.

Optional quotations from letters

Quotes from letters (optional)

Added 23 September 2026. Quote permission v1 (yes-quote-published-letter-v1) sits alongside letter notice 2026-09-22-letters-v3; the processing, publication and council choices and their values are unchanged. It is offered only with publication. A letter without the exact value, including every letter sent before 23 September 2026, has no quote permission, and publication permission never implies it.

If you choose it, Yann Stoneman may quote short, word-for-word extracts from your published letter. He may use them in his own campaign to keep Kew Riverside Primary School open and to encourage families to consider the school. Each extract is credited only with your display name or Anonymous. The uses are posts on social media accounts he runs, messages in local parent groups, leaflets, posters and talks at public meetings. Others may film or share these. Our basis is your explicit consent, including for any political opinions an extract reveals. It does not cover paid adverts, fundraising appeals, anything submitted to the council (council collection is a separate choice) or news organisations. Nor does it cover materials published by Kew Riverside Primary School, its PTA or any other organisation. Any of these uses would need your new permission.

Yann chooses any extracts himself and may use none; nothing is selected or posted automatically. Cuts are marked “…” and keep your meaning. He does not reword extracts or combine them with anyone else’s words. He leaves out the names of children and other people, children’s own words, details such as a child’s class, age or year group, and health, SEND or religious information. He checks factual claims in an extract against sources or leaves them out. Each quote is presented as one contributor’s opinion from a community letter, not as a verified identity, the view of the school or PTA, or a representative survey. If your display name is your real name, a quote may show that you have a connection to the school.

Quotes are public wherever they appear and can be copied. Social media platforms, and any designer or printer who prepares materials, receive the extract and credit. Platforms process posts under their own terms and may store them outside the UK. Your email, private reference and council details are never included.

We keep a private record of your permission so Yann can check a quote with you and show it is genuine. The record holds the permission’s date and value, your letter’s public reference, your display name and, if you gave one, your reply email. We also record where and when each quote is used and any withdrawal. The permission lasts until 30 September 2028 unless you withdraw it sooner; Yann will ask again before any later use. Minimal records of past uses are kept while any quote remains in circulation.

You can withdraw quote permission on its own using the private request form. Yann will stop new uses as soon as possible, remove quotes from posts and pages he controls and stop handing out remaining printed copies. He cannot recall copies already given out or copies made by others. Withdrawal does not affect earlier uses made with your permission. Withdrawing processing or publication consent, or asking to remove your letter from this website, also ends quote permission. Withdrawing quote permission does not change your publication or council choices.

Videos — permissions, privacy and withdrawal

Parent Voices video submissions

The video submission route is for adults uploading their own recording, with no children or other identifiable people in the picture. For the Dropbox route, we collect your video, its filename and upload information, and the name and email entered at upload. We also collect the email entered in the permission form, any optional public credit, submission timestamps and your permission choices. No Google or Dropbox account is required. Use the same email in both steps so Yann can match them. The filename question is optional if your phone does not show it. Yann Stoneman is responsible for this parent-led collection. It is separate from the school, PTA and council consultation.

Videos go to Yann’s private Dropbox file-request folder; permission answers stay in his private Google Forms. Other contributors cannot see them. An upload without matching permission stays private and is never treated as permission to publish. Yann uses your email for permission checks, replies and any proposed substantive edits. An AI assistant may check submission counts and upload listings; listing metadata may be visible during these checks. The current form separately asks for permission to use Claude (Anthropic), OpenAI and VEED to screen, transcribe and edit the recording and prepare a YouTube upload. Without that processing choice, no AI assistant assesses the recording. Earlier recordings require a separate, dated agreement for those uses of the exact recording. VEED, Claude (Anthropic), OpenAI and YouTube may receive the recording or working copies needed for their respective parts of the process under their own privacy terms. A video with missing, unclear or withdrawn permission stays private. There is no forwarding to the council.

Our basis is your explicit consent for private receipt, storage and review, including any political opinions you choose to express. Publication requires a separate explicit Yes choice covering your video and chosen credit on Parent Voices on YouTube. No choice is preselected. New video submissions require explicit YouTube publication permission; news-media and paid-ads permissions are separate and optional. The current form is for school-life testimonials only. Its separate processing and YouTube choices together allow AI-assisted review and editing, automatic release after checks, and a meaningful public excerpt of a longer testimonial when the new YouTube choice covers it. The form does not authorize a closure-focused video letter or website embedding; each needs a separate, dated agreement for the exact recording. Earlier permission records keep their original scope. Videos are intended to share parent experiences, raise awareness and help prospective families learn about the school. You can contact Yann privately, use the rest of the website or write a letter without uploading a video. Please exclude children’s details, health or SEND information, private contact details, other people’s private information and allegations about identifiable people.

Publication permission includes trimming pauses, adding accurate captions, cleaning audio and fitting the picture without changing your meaning. Other changes to your meaning need your agreement. A suitable school-life testimonial may be released publicly on Parent Voices on YouTube after checks. A complete recording focused on the closure proposal may instead be an Unlisted YouTube video letter embedded in the campaign website’s Letters feed. Unlisted means anyone with the link or access to that page can watch and share it. A mixed recording may have a complete Unlisted letter and a separate public positive excerpt only if the excerpt keeps your meaning and you have separately agreed to it. A complete square or vertical edit of no more than 180 seconds may be one complete Short; it does not need a second tiny excerpt. The optional public credit is separate from your private contact and upload details. A nickname or no written credit is fine, but your face and voice may still identify you. The YouTube permission alone does not allow Yann to use the recording on other social platforms, in a council collection, in paid ads or in a mailing list. Publication is never guaranteed; unresolved permission or quality questions keep the video private.

Optional news-media permission: if selected, you explicitly consent to Yann supplying your video and chosen public credit, including any political opinions you express, to news organisations reporting on Kew Riverside Primary School’s future. You permit use of the recording and excerpts in their broadcast and online coverage, with accurate captions and edits that preserve your meaning. Your email and other private contact details must not be shared. This authorises Yann’s disclosure and the stated use of your recording; it is not blanket data-protection consent for recipients. News organisations control their own publications and may need their own release or privacy arrangements. Leaving this checkbox unchecked does not prevent submission or YouTube publication.

Optional paid-ads permission: if selected, you explicitly consent to Yann using your video, or captioned excerpts that keep your meaning, with your chosen public credit and any political opinions you express, in paid ads he runs on YouTube, Facebook and Instagram. The ads invite families to learn about or visit Kew Riverside Primary School and encourage people to take part in decisions about its future. They are not fundraising appeals. Yann runs and pays for them personally; he is a member of the school’s PTA, but these ads are not run for the school or PTA. He limits placements to those three platforms and shows you the exact excerpt and ad wording before an ad first runs, and uses it only if you agree. Ads reach local people who did not choose to watch, based on the platform’s location and audience settings; your email and other private details are never used for targeting. Ads show which account placed them, some platforms show who paid, and they may attract public comments, which Yann moderates. Google and Meta process ads, including their public ad-library records, under their own terms and privacy policies and may store them outside the UK. Platforms may keep ads, including your video and credit, in public ad libraries after they end; if a platform treats an ad as political or social-issue, this can be for up to seven years. Ads stop by 30 September 2028 at the latest. Leaving this checkbox unchecked does not prevent submission or YouTube publication.

Public YouTube videos and credits may be viewed, indexed, downloaded or copied by others. You can withdraw storage/review, YouTube, news-media or paid-ads permission separately, or request access, correction or removal privately. Identify the video using its public link, submission date or filename, and say what you want changed. Yann can remove all YouTube versions he controls, including excerpts, and any campaign-website embed he controls. Withdrawing news-media permission stops further sharing by Yann; he will contact known recipients about your request, but cannot guarantee recall of broadcasts or copies made by others. Withdrawing paid-ads permission means Yann pauses or stops ads using your video as soon as possible, normally within two working days, and starts no new ones; withdrawing YouTube permission also ends YouTube ads. Excerpts used in YouTube ads may be separate unlisted uploads on Yann’s channel; withdrawing paid-ads or YouTube permission removes them too. Ad-library records and copies made by others may remain. Withdrawal does not change the lawfulness of earlier consented use. The private request form uses Formspree and may be opened by the AI assistant before human handling, as described below; do not attach the video or include sensitive detail in that request.

Within 90 days of receipt, Yann reviews raw uploads and unpublished submissions for deletion. He does this sooner after withdrawal or when they are no longer needed. Minimal dated records of permission, disclosure and withdrawal are kept while a video remains published or a news-media or paid-ads permission is still in use. An active request or dispute may require a longer, documented period. Downloaded editing copies, Dropbox and Google Drive deleted-file areas, permission records and correspondence need separate manual attention. This is a manual retention process, not an automatic deletion service. Public videos remain while relevant and permitted.

Keep recordings short and ideally under 100 MB. Available storage is limited and intake may stop when it is full. File requests do not establish identity or prove consent, and may receive unwanted or unmatched files. Contact Yann privately for an alternative if a service is unavailable. Dropbox and Google handle service and technical data under their own terms; see Dropbox’s privacy policy, Google’s privacy policy and Google’s international transfer information. For consented AI review and editing, see Anthropic’s privacy policy, OpenAI’s privacy policy and VEED’s privacy policy; for paid ads, also Meta’s privacy policy. The upload services are contacted when you follow their links; no upload form is embedded here. Video letters on the Letters page use a YouTube privacy-enhanced player that loads with the page and connects to YouTube (Google). Videos play only when you press Play. Following a Watch on YouTube link also connects to Google. Current Dropbox route notice: 2026-09-29-videos-dropbox-v4.

Original Google upload form: the previous form remains open, including for people with an older flyer. It requires Google sign-in and stores its videos and responses in Yann’s private Google Drive and Forms. Google records the account name, email and profile photo associated with the upload. It accepts one video up to 1 GB, one response per account, subject to the form’s storage cap. New responses use notice 2026-09-29-videos-v4 and the required separate processing and YouTube / optional news-media and paid-ads choices above. Earlier responses retain their original notice and choices (2026-09-22-videos-v1, 2026-09-22-videos-v2 or 2026-09-26-videos-v3). You do not need to resubmit a completed Google upload. The same manual review, withdrawal and retention rules above apply.

Already saved permissions: earlier Dropbox permission records (2026-09-22-videos-dropbox-v1, 2026-09-22-videos-dropbox-v2 or 2026-09-26-videos-dropbox-v3) and Google upload records keep their original scope, even when the video arrives later. An earlier private-only choice stays private; an earlier YouTube-only choice grants no news-media permission; and an earlier record grants no paid-ads permission. To add paid ads for an earlier video, contact Yann privately; he may also ask you once by email. He sends you the full current paid-ads wording and keeps a private dated record of your agreement to it. Upload dates, changed notices, missing answers and uncertain matches never expand permission. You do not need to complete a new form to finish an upload covered by an earlier permission record.

Where written submissions go

Where written submissions go

Written submissions go to a private Formspree dashboard and the operator's notification inbox. They do not appear on the website immediately. The operator uses OpenAI through Codex for automated letter screening and to assist with reviewing other messages. Reply emails and private council identity fields are not needed for content moderation. We avoid including them in review excerpts where the dashboard allows; opening a submission may expose those fields to the AI browser assistant. Do not treat these services as a confidential channel for sensitive records. Messages themselves may be processed by OpenAI, so please keep personal information out of the message.

Formspree hosts its service in the United States and says it uses Standard Contractual Clauses as a processor. Providers may process data outside the UK. See Formspree's privacy policy, its security information and OpenAI's privacy policy for their data practices and transfer information.

What can become public

What can become public

Only eligible ideas and suggestions whose authors choose the optional publication permission can be considered for the suggestions board. Funding ideas and privacy/removal requests are excluded regardless of any publication permission supplied. Named supporters follow the separate consent and confirmation process above. Routine website suggestions may be approved after AI review when the planned hourly service is active. It is currently paused. Community letters follow the separate publication choices and screening rules above; letters with quote permission may also be quoted beyond this website, as described in Quotes from letters. Named supporters always need human approval. Private contact, correction and privacy requests are never automatically published. Evidence, meeting questions, corrections and submissions with source links require human assessment. For the suggestions board, we hold sensitive, uncertain or factual matters for a person. Constructive criticism is welcome and is assessed using the same rules as positive feedback.

Published items contain the approved text, your display name (or Anonymous), publication date, a public reference and a review label; website suggestions also have a status. Letters are labelled AI screened or Human reviewed according to the assessment they received. We do not publish reply emails, private council name/postcode fields or private submission references. Display names and identities are not verified. Letters are opinions, not endorsements, verified signatures or a representative poll. Approval means the suggestion is suitable to display; it does not verify factual claims or commit the operator to implement it.

The board is hosted publicly on GitHub Pages. Published text and display names may be indexed, copied or retained in GitHub's version history. We can remove it from the live board, but cannot recall copies made by other people. Please only permit publication of information you are comfortable sharing publicly.

Retention

Retention

The current Formspree plan provides 30 days of dashboard submission history. Notification emails and AI review conversations are separate copies and are not automatically deleted when that history expires. We keep them only while needed to handle the feedback, follow-up or a dispute; you can request their deletion. Minimal private moderation records help prevent duplicate publication. For letters, the operator reviews unpublished letters and private council details for deletion within 90 days of receipt, or sooner after withdrawal or when no longer needed. An active request or dispute can require longer retention, which must be recorded. Consent evidence is retained while the relevant use continues. Letters with quote permission follow the record-keeping in Quotes from letters. Notification emails and AI review copies need separate attention; this is a manual retention process, not automatic deletion by Formspree. Published items remain while relevant, unless removed following review or a request.

Your rights, withdrawal and complaints

Your choices and requests

You can send feedback or a letter without a name or email. (The Dropbox video route needs an email address but no account.) You can leave any sharing choice unchecked. You can withdraw consent for letter processing, publication, quoting or council sharing. You can object to processing based on legitimate interests. You can ask for access, correction or deletion. You can also ask for a person to review an automated moderation decision. Other rights, including restriction and portability, may apply depending on the circumstances.

Send a private privacy, removal or human-review request. Say which permission you want to withdraw. Include your private reference if you kept it, or the public item link and enough detail to locate it. Add an email only if you want a reply. These requests are held for the operator and never published automatically. We may need information to verify a request before disclosing or changing data.

If you are unhappy with how your information is handled, you can complain to the Information Commissioner's Office.

Website analytics — what is counted and your choices

Petition progress count. The homepage requests the council’s published online signature total through a Cloudflare service. This functional display works independently of analytics choices and does not measure your visit. It sends no cookies or page referrer. The service fetches only the fixed council petition page, keeps only the total, source link and check time in a cache for up to 15 minutes, and does not store signer details or visitor identifiers. Application request logging is disabled; Cloudflare still handles connection data to operate and secure the service, as described below. If the count cannot be refreshed, the homepage keeps its dated snapshot and council link.

Website analytics

We use statistics only to improve this website: making useful information easier to find and checking whether important links work. There are two levels. Aggregate statistics are on by default after the first-visit notice is presented. Detailed Umami analytics are off until you choose them. Review or change your analytics choice here or through Analytics choices in any footer. The first-visit notice also has a direct Turn analytics off button. Objecting is free and does not affect reading, contributing or responding to the consultation. Analytics choices are separate from every submission and publication permission.

Aggregate statistics. Our local script sends fixed labels for page opens, broad referral categories (including a fixed list of news and social sites), screen-size groups, estimated device type, browser and operating-system families, public page-to-page arrivals, page-loading speed groups, broad sections coming into view or being the main section in view for ten active seconds, active-time milestones by public page (15 seconds to five minutes) and selected link or download opens. A separate counter hosted on Cloudflare immediately adds them to daily totals. With the updated notice or a renewed analytics choice, a separate counter also records total page opens in one-hour buckets across all public pages, so we can plan website maintenance and content checks around busy periods. It is not broken down by page, device, referral or visitor. Earlier saved choices keep their earlier scope until you choose again. Its analytics database stores only the day, metric, fixed label (including the hour for that separate total) and count: no individual event rows, exact event times, IP addresses, browser user-agents, visitor IDs, fingerprints or visit histories. Browser, device, operating-system and referral totals remain separate. Loading and active-time groups are counted by public page; arrivals between public pages are counted as fixed page pairs. We cannot connect these counters into an individual history. The browser user-agent is reduced locally to broad categories; the original string is not sent in the analytics body or retained by our counter. These are counts of views and interactions. The separate daily browser estimate below is not a count of unique people, parents or supporters.

Estimated daily visitors (unique browsers). On the first eligible counted visit each UTC day, this browser saves only that date in local storage and sends one increment to a separate daily total. The saved date is never sent to the counter and contains no visitor identifier. Repeat page opens, reloads and tabs using this same browser storage do not add another increment that day. The date has no automatic storage expiry: it is replaced on a later counted day, or removed when you turn analytics off or clear this site’s data. Browsers without the required cross-tab locking support do not contribute to this estimate. Suppression uses this device’s UTC clock; the counter groups receipt by server UTC date. Incorrect clocks or requests crossing midnight can distort daily totals. Failed delivery is not retried and can undercount. Different browsers/devices, private browsing, clearing storage or switching off and later back on can count someone again; a shared browser can represent several people. Daily totals cannot be summed into weekly or monthly unique visitors, and historical page totals cannot be converted into visitor counts.

For this aggregate tier we rely on the UK statistical-purposes exception to the storage and access rules: the sole purpose is improving the website, with clear information and a simple way to object. Where personal data is necessarily processed in transmission, our UK GDPR basis is legitimate interests in maintaining a useful website. The counter does not retain individual-level analytics after aggregation. Daily totals are deleted from its active database after 365 days; Cloudflare's recovery history can retain older copies for another seven days. Reports are available privately to the operator and authorised collaborators through Cloudflare and a shared Google Sheets dashboard, solely for website usability and content improvements. The shared dashboard contains aggregate counts and coverage notes, not individual activity.

Detailed usage, only with permission. Choosing Allow detailed analytics also sends the fixed page and interaction labels to Umami Cloud, which groups them into visits. Umami receives your IP address and browser user-agent with the request and derives browser/device type, approximate country, region and city, and a hashed browser identifier that its documentation says can span a month. Its reports can show a browser's sequence of pages, section labels, viewing-time milestones and selected link opens. Our UK GDPR basis for this optional tier is your consent. We use totals and trends to improve the site, without reviewing individual visitor profiles or linking analytics to submissions. Umami's free Hobby plan retains analytics for six months.

Choose Keep basic only to keep aggregate statistics without Umami, or Turn analytics off to stop both. These choices are remembered in this browser for five years. Earlier saved choices keep their earlier measurement scope until you review it again: the original basic-only choice keeps page-open totals only; the next choice version excludes referral, device, performance and page-pair categories, while the following version includes those categories. Choices saved before daily browser counting was introduced exclude that count until you choose again. Earlier choices exclude hourly totals until renewed. Your existing Umami choice remains effective. Selecting a choice now applies the categories explained here. Detailed permission lasts 180 days; when it expires, Umami stops and the aggregate default applies after the notice is presented again. Saved refusals, Do Not Track and Global Privacy Control keep both tiers off. Both tiers also stay off when browser storage is unavailable, because we could not remember an objection. Without JavaScript, no analytics runs.

No analytics cookie or visitor identifier is stored by our script. It stores the choice you make and, for eligible daily browser counting, the date-only marker explained above. The script removes URL query strings and fragments and never sends searches, typed words, form values, letter references, names or contact details. Private request and Share ideas pages are excluded. We add no recordings, heatmaps, advertising identifiers, cross-device identification, per-letter tracking or health, family or opinion classifications. Time counts only while the tab is visible and focused, within a minute of arrival, returning or an interaction. Section timing pauses while the menu is open or a form field is in use; overall page time does not. We never record which key you pressed.

Cloudflare and Umami necessarily handle connection data to operate and secure their services. Application request logging is disabled for our counter; this does not mean the providers keep no operational or security logs. They may process data internationally. See Cloudflare's data processing terms, its privacy policy, Umami's data processing terms and its subprocessors and transfer safeguards.

The previous GitHub Pages and savekewriverside.org forwarding and saved-letter recovery pages send no analytics. Browser choices cannot transfer between those addresses and this one. Turning analytics off stops future measurement; it cannot subtract an individual's contribution from anonymous totals or erase events already sent to Umami. You can raise a private privacy or deletion request. Identifying historical Umami events may be difficult because we assign no name or contact details to them, and provider backups may expire separately.

Blockers, refusals, bots, interrupted visits and direct anchored arrivals that skip the first-visit notice make totals incomplete. Device types are estimates (some tablets report a desktop browser). Referral information may be missing; direct/unknown does not prove a visit came from a newsletter or messaging app. Loading measurements are grouped into timing ranges, with samples unavailable at measurement time shown separately; restored pages do not create new loading samples. Section visibility or elapsed time is not proof of reading or understanding. A link open is not confirmation of a completed consultation response, successful download, video upload or school enrolment.

Letter drafts and storage on your device

Letter drafts in your browser

This site sets no cookies. Apart from the writing tools described here, it stores your analytics choice, if you make one, and the date-only daily browser-count marker when eligible (see Website analytics), and a manual Light or Dark choice (see Appearance preference). This is the new website address, savekewriversideprimaryschool.org. Browser choices and unfinished letter drafts saved at savekewriverside.org or the earlier GitHub Pages address do not appear here. Detailed analytics stays off until you choose it here; aggregate statistics follows the choices described above. To recover an old draft, open the previous letters page or open the earlier GitHub letters page in the same browser and copy your words here.

While you write a community letter, the page saves a draft of your letter and display name in this browser’s local storage, so a closed tab or lost connection does not lose your words. It never saves your email or council details, and the draft is not sent anywhere. A draft is not restored after seven days; an older draft is deleted the next time you open the letters page, or when you clear this site’s data. Clear draft removes the draft, any temporary tab copy, private fields and sharing choices at once. When you press Send, this tab keeps a temporary copy of the letter so you can copy relevant parts for an official response. Pressing Send alone does not confirm delivery: check Formspree’s result. The Share ideas form keeps only the kind of message you tried to send, for the optional next-steps page. These tab copies disappear when you close the tab, and the next-steps page’s clear both copies now button removes the letter from both browser stores sooner. This tab then keeps only a short fingerprint of it (not the words), so the cleared letter is not restored. This storage is part of the writing tool you are using; it is not used for analytics or tracking. On a shared device, clear the draft when you finish. Without JavaScript, nothing is saved.

The footer’s Appearance control lets you choose System, Light or Dark. System follows your device setting. A manual choice is stored only in this browser so it can be used on later visits. It stays until you choose System or clear this site’s data. This setting is not an identifier and is not sent to a service. If storage is unavailable, your choice works on the current page but may not survive navigation.

Cookies and spam protection

Website analytics is described above and sets no cookies. There are no advertising scripts. The feedback page does not load a CAPTCHA script while you browse. When you send feedback, you continue to Formspree, which may use Google's reCAPTCHA and associated cookies or technical signals to protect the submission. See Google's privacy policy. Formspree also applies its spam filter and service rate limits. No method blocks every abusive submission.

Letters are checked periodically under the screening rules above. The separate planned hourly review of website suggestions is not yet active. There is no guaranteed response or publication time for ordinary suggestions or letters. Statutory data-rights requests are handled within applicable deadlines. Use official channels for time-sensitive, school or safeguarding matters.
